AI for property agents: never miss a viewing enquiry

Listing enquiries arrive at night and on weekends, often from several portals at once. The agent who replies first with a useful answer usually gets the viewing.

Why enquiries are lost

A property agent is often driving, at a viewing or with another client when a new enquiry comes in. The enquiry itself is usually short: “Still available?”, “Can view this weekend?”, “Pet friendly?”. By the time the agent replies, the prospect has messaged three other listings. The problem is not effort; it is that nobody can answer every message within minutes, all day.

What an AI agent can handle

  • First reply, immediately. Confirm the listing is available, answer the facts you have published (rent or price, size, furnishing, parking, move-in date, pet policy) and ask the next useful question.
  • Qualify the lead. Budget, move-in date, number of occupants, buying or renting, financing status, whether they have seen other units. Asked conversationally, not as a form.
  • Book the viewing. Offer slots from your calendar, confirm the day and time, and send a reminder before the viewing.
  • Follow up. Message or call prospects who enquired but did not book, and those who viewed but did not decide.
  • Hand over the good ones. A qualified buyer who wants to negotiate or a tenant ready to sign should go to you straight away, with the whole conversation attached.

What to publish for it

The agent can only answer from what you give it. For each listing or project, write down the facts buyers ask about most. For a rental: monthly rent, deposit structure, furnishing, parking bays, utilities, move-in date, pets, and who can view and when. For a new project: price range, unit types and sizes, tenure, completion date, and what the showroom hours are. Anything not written down should get “let me check with the agent”, not a guess.

Answer in the prospect’s language

Enquiries for the same unit can arrive in Malay, English and Mandarin in one afternoon, and often in a mix of them. An agent who replies only in English loses some of those prospects before the first viewing. An AI agent should answer each person in the language they wrote in, while keeping unit names, road names and project names exactly as you published them.

Qualifying without putting people off

Nobody wants an interrogation before they have even seen a photo. A good pattern: answer the question first, then ask one qualifying question per message, and stop once you have enough to book a viewing. Tenants and buyers answer more readily when the question clearly helps them (“Are you looking to move in before December? This unit is available from 1 November.”).

One record per prospect

Prospects rarely stay on one channel. They find you on a portal, message on WhatsApp, follow up by phone. If the AI agent keeps one record per person, it can pick up where the last conversation left off: which units they asked about, their budget, which viewing they booked. Without that, every new message starts from zero.

Viewings and reminders

A developer launching a project may get hundreds of enquiries in a week. An AI agent can answer the common questions, register interest, book showroom visits and pass the warmest leads to the sales team, while follow-up calls to registered prospects run as an outbound campaign with calling hours and opt-outs respected.

Checklist before you switch it on

  1. Publish the facts for each active listing.
  2. Decide which questions always go to you (negotiation, offers, legal and loan questions).
  3. Connect your calendar and set viewing slots and buffers between them.
  4. Test with ten real enquiries from last month, in Malay, English and Mandarin.
  5. Check that a hand-over reaches your phone quickly.
