An AI assistant for a small business in Malaysia: where to start
A small business rarely needs a big AI project. It needs the same few questions answered at 11 pm, orders written down correctly, and nothing lost between WhatsApp, the phone and the inbox.
Start with the questions you answer every day
Open your WhatsApp and phone log for last week and count what people asked. In most small businesses a handful of questions make up most of the traffic: are you open, how much is it, do you deliver to my area, is it in stock, can I change my booking. These are the questions an assistant can answer well, because the answer is written down somewhere and does not change from customer to customer.
Write those answers in plain sentences, one topic at a time. That document becomes the assistant's knowledge. The quality of the assistant is mostly the quality of this document: if a price is out of date in the text, it will be out of date in the reply.
What an assistant can do beyond answering
- Take orders. It can list what is available, confirm quantities and options, and write the order down for your staff to pack.
- Make bookings. It checks a free slot and books it, and moves or cancels it when the customer asks.
- Send a payment link when the order is confirmed, so the customer does not wait for you to reply.
- Collect a lead. When someone asks about a service you quote for, it asks the few questions you always ask and passes you a complete enquiry.
- Hand over to you. For a complaint, an unusual request or a customer who asks for a person, it stops and passes the conversation to your staff with the history attached.
Pick one channel first
Most Malaysian customers already message businesses on WhatsApp, so that is the usual first channel. If your website gets enquiries, a chat widget on the site is the quickest to try because it needs no approval from a messaging platform. If you lose calls, add the phone later. Doing one channel properly, with real customers, teaches you more than switching on everything at once.
Language is part of the job
Your customers do not write like a textbook. They mix Malay and English in one sentence, shorten words and sometimes use Mandarin. Keep a person in the loop
In the first weeks, read the conversations. Note where the assistant guessed, where it handed over too late and where it was simply missing a fact, then fix the knowledge. A good assistant should say it does not know and pass the customer to you, rather than invent an answer about a price or a refund.
Mind customer data
You are collecting names, phone numbers and sometimes addresses. Tell customers an AI is answering, say what you keep and why, and give them a way to ask you to delete it. Our PDPA checklist for AI chatbots goes through the steps.
