A WhatsApp AI assistant for Malaysian businesses: what to know before you switch it on

WhatsApp is where most Malaysian customers already are, which is why it is the first place businesses want an AI assistant. It also has rules that decide what the assistant may send and when.

The business account, not the app on your phone

An assistant cannot sit inside the ordinary WhatsApp app on a staff phone. It connects through the WhatsApp Business Platform, which means a registered business account and a number set up for it. Plan for that setup, and for the fact that moving a number that is already in daily use takes care, because staff will no longer see its chats in the phone app in the same way.

The 24-hour window

WhatsApp lets a business send free-form replies only within 24 hours of the customer's last message. After that, the business can only send a pre-approved template message. This matters for follow-ups: an assistant can answer a question in the middle of the day with no trouble, but a reminder the next morning, or a message to someone who went quiet two days ago, has to go out as an approved template.

Since 1 October 2026 WhatsApp also charges for some messages the business sends. Ask your provider how those charges are passed on before you design a campaign that sends thousands of reminders.

Templates for the messages you send first

Write templates for the messages you will send on your own initiative: booking confirmations, reminders, order updates, a payment link. Keep each one short and specific, and submit them early because approval takes time. Everything else can be a normal reply inside the window.

Tone and length of replies

WhatsApp is a chat app, so replies should read like chat. Short sentences, one question at a time, and no wall of text. Decide whether the assistant addresses customers formally or casually, and keep that the same across every message. Mirror the customer's language: if they write in Malay, answer in Malay, and if they switch to English halfway, follow them. Ask your own staff to read twenty replies aloud; anything that sounds stiff when spoken will feel stiff on the screen.

Handover to a person

Decide in advance when the assistant must stop. A customer who is angry, who asks for a person, or who raises something about money or safety should reach a member of staff quickly, with the conversation so far on screen so they do not have to ask again. Test this path as carefully as the answers.

What to test before going live

  1. Send 30 real messages from your own history, including the badly spelt ones and the mixed Malay and English ones.
  2. Ask three things you have not told it. It should say it does not know and offer a person, not guess.
  3. Book, move and cancel an appointment, or place and change an order.
  4. Send a message after the 24-hour window and check that the follow-up goes out as a template.
  5. Ask for a person and time how long handover takes.

Customer data and consent

A WhatsApp conversation is personal data. Tell customers they are talking to an AI, keep only what you need, and have a way to delete a customer's record on request. See the PDPA checklist for the practical steps.
