The questions repeat
Where is it, what time does it start, is there parking, can I bring a guest, what should I wear, is there food. Put the answers in one place and let the assistant respond at any hour. Your team then deals with exceptions only.
Collect RSVPs in the channel guests already use
A guest who replies yes on WhatsApp should not have to open a form. The assistant can record the answer, ask for the number of guests and any dietary needs, and confirm back. Everything lands in one list, which you can export.
Changes and cancellations
People change their minds. Let the assistant update an RSVP when a guest says they cannot come or want to bring someone, and record the time of the change. A guest list that reflects reality a day before the event is worth more than a perfect list a month before.
Reminders
Send a reminder a few days before and again on the morning of the event, with the address and start time. On WhatsApp, reminders outside the 24-hour window go out as approved templates, so prepare them early.
Waitlists and capacity
If a venue has a limit, tell the assistant the number. When it is reached, it can offer a place on a waitlist and move people up when someone cancels. State clearly what you promise to guests on the waitlist.
On the day
